Digital services mix fixed subscriptions, per-seat charges and usage tiers. A small monthly line can become material when multiplied across seats and annual renewals.
Inventory contracts and owners
Record service, plan, billing cycle, renewal date, seats purchased, seats active and the person responsible. Include app-store and card statements so duplicate subscriptions are visible.
Separate fixed and variable costs
Calculate the annual base cost, then model storage, bandwidth, API or data overages. Use actual recent usage and a peak case rather than assuming the advertised included amount is always sufficient.
Test cancellation and migration
Account for notice periods, export work, replacement tools and lost discounts. A cheaper plan can cost more during migration, so calculate the break-even period after switching cost.
Worked example
Scroll the table horizontally on small screens to see every column.
| Unused seats | Monthly seat price | Months | Annual waste |
|---|---|---|---|
| 7 | 22 | 12 | 1,848 |
This identifies direct subscription waste only; migration effort and negotiated discounts need separate entries.
